Conditions of Airport pick-up service for Monash Abroad (exchange, study abroad, inter campus exchange) students:
This service is free to Monash Abroad (exchange, study abroad, inter campus exchange) students only. Aero operates the service for Monash University and will meet you at Tullamarine Airport (MEL). We do not pick-up students from Avalon airport (AVV).

If you are undertaking a Monash University Undergraduate or Postgraduate course. You need to go HERE to enter your airport request.

If you are a Monash College student. Monash College students need to go HERE to enter their airport request.

If you are a PhD candidate. PhD students need to go HERE to enter their airport request.

IMPORTANT INFORMATION

  • You must submit this request form at least four (4) days (96 hours) before your arrival in Melbourne. Pick-up cannot be guaranteed if the form is incomplete.
  • The Australian Border Force website provides a guide to food you can bring into the country. If you bring food into Australia it must be declared and this may cause delays passing through customs, which could lead to your booking being cancelled if you arrive late. See below under "If you arrive late or not at all" for further information.

  • Do not bring over the counter medicine, doing so may cause delays passing through customs, which could lead to your booking being cancelled if you arrive late. Once you arrive you can buy over the counter medicine from outlets such as Chemist Warehouse.
  • Driver will ring or text you after your flight lands. Please make sure that your phone has global roaming enabled.
  • This pick-up service will take you to one address only.
  • If you make any changes to your arrival details after submitting this form, you must notify Aero Admin by email as soon as possible.
Please ensure that you do not leave any of your belongings in our vehicles, we may not be able to guarantee the safety of your lost luggage. You may need to make a private arrangement to have your lost property delivered to you. Price would depend on your address.

Luggage allowance

  • Maximum (total) - two (2) large and one (1) small carry-on baggage items only per student.
    Inclusive of two (2) bags/suitcases with a height of 76cm, width 49cm, depth 30cm each, (maximum 155 linear cm for each case), the third being a carry-on size bag/suitcase with a height of no more than 55cm (maximum 115 linear cm)
  • Cardboard boxes will not be accepted. You’ll need to make arrangements to transport it at your own expense.
  • We cannot accept sporting equipment or large musical instruments (oversized luggage).
  • Your luggage must fit into the boot/trunk of a sedan car. It is illegal for the driver to carry any luggage inside the vehicle.
  • Aero reserves the right to refuse to transport a person, if Aero deems it unsafe due to excess luggage.
  • If you have any luggage that doesn’t meet the requirements above, you’ll need to make arrangements to transport it at your own expense.

Passenger limits

  • Maximum two passengers (student + extra passenger = 2 passengers).
  • Maximum luggage for your family member is one (1) bag/suitcase with a height of 76cm, width 49cm, depth 30cm each, (maximum 155 linear cm case) or smaller.
  • If you arrive with more passengers than you have requested, or more bags, you’ll need to organise a taxi at your own expense.

Filling out the form

Before requesting the pick-up service, you must have accepted your offer, confirmed your flight details, and have the required visa to enter Australia.

To fill in the form make sure Javascript is enabled on your web browser (Chrome or Firefox) or the booking may not work. If the booking does not work use a VPN (Virtual Private Network) .

What to do when you arrive

  1. It is important that you stay inside your arriving terminal (T1 - T2 - T3 - T4).
  2. On the day of your arrival, driver will call or text you after your flight lands.
  3. If arriving on a domestic flight, your driver will meet you by your flight luggage carousel for your flight.
  4. If arriving on a international flight, find the meeting point, which is the The Welcome Centre, to your left, after you leave the customs area.
  5. Go immediately to the Welcome Centre and wait for your driver. Do not visit shops on your way.
  6. Before accepting your ride, make sure the driver has suitable identification, such as an Aero or Monash University sign, confirming they’re a representative of Monash University. The driver will also have your name and contact number provided in this booking.
  7. Enable data roaming and have WhatsApp or WeChat ready before your arrival to Melbourne.
If you can’t find your driver, text us using WhatsApp or WeChat on +61 425 865 955. Alternatively find a public phone and make a free call (no coins required) to Aero on 1800 350 850. Do not just leave the airport! Aero will not compensate you for the cost of alternative transport if you missed the pick-up.

If you arrive late or not at all

  • Any changes must be made by emailing Aero Admin (NOT the driver).
  • If you are overseas and miss your flight or if your your flight is cancelled on your way to Melbourne, Australia, you must notify Aero Admin (NOT the driver) as soon as possible by email. If your notification is received a minimum of 14 hours before your arrival, Aero will schedule a driver for your new arrival time.
  • If you board your Melbourne-bound flight but it is delayed, note that Aero monitors all Melbourne-bound flights and will be aware of delayed arrival times and will be at the 'meeting point' to align with your new arrival time.
  • Note that staff at Aero do not check emails between the hours of 10pm and 7am Melbourne time (Australian Eastern Standard Time (AEST).
  • Your booking will be cancelled if you don’t arrive at the specified date and time and fail to notify Aero Admin in a timely manner. You may make another booking with Aero, if you wish, but it will be at your own expense, or you can make your own way to your accommodation.
