Monash College Airport Pick-up
Conditions of Airport pick-up service for Monash College students:
This service is free to new international students only. Aero operates the service for Monash College and will meet you at Tullamarine Airport (MEL). Aero does not pick-up Monash students from Avalon airport (AVV).

Note: Only use this form if you will be commencing one of the below courses:
Your request will be declined if you use this form for any other courses.
If you are a student studying an undergraduate or postgraduate course, you need to go HERE to review your eligibility.

Important Information

  • Do not use this form if you are commencing a Monash University Undergraduate or Postgraduate course upon your arrival.
    You need to go HERE to enter your airport request.
  • Your pick-up request can only be processed if you meet all conditions listed in this document.
  • You must submit this request form at least four (4) days (96 hours) before your arrival in Melbourne. Pick-up cannot be guaranteed if the form is incomplete.
  • Monash College will process your booking between the hours of 9.00am to 5.00pm AEST on standard business days (excluding public holidays).
  • Aero can only pick-up students that have entered a booking with 4 days (96 hours) lead time, and have been approved by Monash College. You need to contact Monash College direct if your booking is in less than 4 days (96 hours).
  • Driver will ring or text you after your flight lands. You must ensure that your phone has global roaming enabled before you arrive at Melbourne Airport.
  • The Australian Border Force website provides a guide to food you can bring into the country. If you bring food into Australia it must be declared and may cause delays passing through customs, which could lead to your booking being cancelled if you are significantly delayed.
  • Do not bring over the counter medicine, doing so may cause delays passing through customs, which could lead to your booking being cancelled if you arrive late. Once you arrive you can buy over the counter medicine from outlets such as Chemist Warehouse.
  • Refer to section below under "If you arrive late or not at all" for further information inclusive of the following:

* This pick-up service will take you and your family to one address only. Monash does not allow students to pick up keys to their accommodation first.
* If you make any changes to your arrival details after submitting this form, you must notify Aero Admin by email as soon as possible or at least 14 hours prior to your arrival.

Please ensure that you do not leave any of your belongings in our vehicles, we may not be able to guarantee the safety of your lost luggage. You may need to make a private arrangement to have your lost property delivered to you. Fee will depend on delivery address.

Luggage allowance

  • Maximum (total) - two (2) large and one (1) small carry-on baggage items only.
    Inclusive of two (2) bags/suitcases with a height of 76cm, width 49cm, depth 30cm each, (maximum 155 linear cm for each case), the third being a carry-on size bag/suitcase with a height of no more than 55cm (maximum 115 linear cm)
  • We cannot accept sporting equipment or large musical instruments (oversized luggage).
  • Cardboard boxes will not be accepted. You will need to make arrangements to transport boxes at your own expense.
  • Your luggage must fit into the boot/trunk of a sedan car. It is illegal for the driver to carry any luggage inside the car.
  • If you have any luggage that does not meet the requirements above, you will need to make arrangements for transport at your own expense.

Passenger limits

  • All passengers must be listed on the booking form. If you are arriving with another passenger and or luggage, you will need to order a vehicle upgrade from Aero at your own expense. The cost of a vehicle upgrade is AU$80 to the CBD.
  • If you arrive with more passengers and or lugggage than you have requested, excess luggage and or passengers will need to be transported in a taxi at your own expense.

Filling out the form

Before requesting the pick-up service, you must have accepted your Monash offer, confirmed your flight details, and have the required entry visa.
To fill in the form make sure Javascript is enabled on your Chrome or Firefox web browser. Use a VPN(Virtual Private Network) if the booking does not work.

What to do when you arrive

  1. It is important that you stay inside your arriving terminal (T1 - T2 - T3 - T4).
  2. On the day of your arrival, driver will call or text you after your flight lands.
  3. Most students meet their drivers in under 60 minutes after their international flight lands. Make sure that you do not bring any kind of food, as you risk cancellation of your booking if you take longer than 60 minutes to arrive through customs.
  4. If arriving on a domestic flight, your driver will meet you by your flight luggage carousel for your flight.
  5. If arriving on an international flight, find the 'meeting point', which is The Welcome Centre, to your left, after you leave the customs area.
  6. Go immediately to the Welcome Centre and wait for your driver. Do not visit shops on your way.
  7. Before accepting your ride, make sure the driver has suitable identification, such as an Aero or Monash sign, confirming they are a representative of Monash College. The driver will also have your name and contact number provided in this booking.
  8. Enable data roaming and have WhatsApp or WeChat setup on your phone before your arrival.
If you cannot find your driver, send us a text message using WhatsApp or WeChat on +61 425 865 955. Alternatively, find a public phone and make a free call (no coins required) to Aero on 1800 350 850.
Do not leave the airport! Aero will not compensate you for the cost of alternative transport if you leave the airport with an alternative pick-up service.

If you arrive late or not at all or need to cancel your booking

  • Any changes must be made by emailing Aero admin (NOT the driver).
  • If you are overseas and you miss your flight or if your flight is cancelled on your way to Melbourne, Australia, you must notify Aero admin (NOT the driver) as soon as possible by email. If your notification is received a minimum of 14 hours before your arrival, Aero will schedule a driver for your new arrival time.
  • If you board your Melbourne-bound flight but it is delayed, note that Aero monitors all Melbourne-bound flights and will be aware of delayed arrival times and will be at the 'meeting point' to align with your new arrival time.
  • Note that Aero staff do not check emails between the hours of 9pm and 7am Australian Eastern Standard Time (AEST) Melbourne time.
  • Your booking will be cancelled if you do not arrive on your specified date and time and fail to notify Aero Admin at least 14 hours prior to your original flight arrival time and date request.
  • If you need to cancel or re-schedule your booking, email us as early as possible to ensure you remain eligible to make a booking in the future. All College students are eligible for a one-time free airport pick-up service when the above conditions are met.

Student statement

The information provided on this form is correct and is used solely to arrange my pick-up from Tullamarine Airport. I will notify Aero Admin of any changes to my details as specified above.

IMPORTANT:

Monash College will be closed for the end of year holiday period from 1.00pm Monday 22 December 2025 (AEDT) and will re-open at 9.00am Monday 5 January 2026 (AEDT).

Booking requests will NOT be processed after 5.00pm Friday 19 December 2025. Bookings will re-open again on Monday 5 January 2026.

If you have submitted your pick-up request AFTER Friday 19 December 2025 and are arriving during the closure period, you will NOT be picked up from Melbourne airport and will have to organise your own transport to your accommodation.

We will process applications again from Monday 5 January 2026 for arrivals from Thursday 8 January 2026 onwards; Please note that all requests must be submitted at least 4 working days before your arrival to Melbourne Airport.

    • Your out of pocket cost will be AU$80, you will need to pay 'in cash' directly to the driver prior to departing Tullamarine Airport.
    Including: Checked, carry-on, duffle bags, backpacks. Anything bigger than 46cm.
    Basically, all the bags that you need Aero to transport for you.
    Any excess bags other than what you have told us below, will need to be transported in a taxi at your own expense.
    No boxes, Golf bags, Bike boxes. Piano boxes, Surfboards, Guitar Cases
