Conditions of service for Victoria University Airport pick-up:

Victoria University offers a free airport pick-up service for all new international Victoria University students. It is just another way we welcome you to Victoria University and make your arrival in Australia easier.

Victoria University is happy to approve a pick-up for you from Melbourne International Airport and Avalon International Airport. All you need to do is complete this application form and let Aero know your arrival details. Please include where you will be staying when you get here.

IMPORTANT INFORMATION

  • Your pick-up request can only be processed if you meet all conditions listed in this document.
  • You must submit this request form at least four (4) days (96 hours) before your arrival in Melbourne. Pick-up cannot be guaranteed if the form is incomplete.
  • Before requesting the pick-up service, you must have accepted your VU offer, be enrolled in units. VU may not accept your booking if you are not enrolled.
  • Your driver will ring or text you after your flight lands. Please make sure that you turn your phone on, connect your phone to the airport’s free Wi-Fi, and or enable global roaming.
  • The Australian Border Force website provides a guide to food you can bring into the country. If you bring food into Australia it must be declared and may cause delays passing through customs, which could lead to your booking being cancelled if you are significantly delayed.
  • Do not bring over the counter medicine, doing so may cause delays passing through customs, which could lead to your booking being cancelled if you arrive late. Once you arrive you can buy over the counter medicine from Chemist Warehouse.

This pick-up service will take you and your family to one address only.
If you make any changes to your arrival details after submitting this form, you must notify Aero Admin by email as soon as possible or at least 14 hours prior to your arrival.

Please ensure that you do not leave any of your belongings in our vehicles, we may not be able to guarantee the safety of your lost luggage. You may need to make a private arrangement to have your lost property delivered to you. Price would depend on your address.

Luggage allowance

  • Maximum (total) - two (2) large and one (1) small carry-on baggage items only per student.
    Inclusive of two (2) bags/suitcases with the following measurements: height 76cm, width 49cm, depth 30cm each, (maximum 155 linear cm for each case), the third bag/suitcase with a height of 55cm (maximum 115 linear cm)
  • Boxes not accepted. You’ll need to make arrangements to transport it at your own expense.
  • Your luggage must fit into the boot/trunk of a sedan car. It is illegal for the driver to carry any luggage inside the vehicle.
  • If you have any luggage that doesn’t meet the requirements above, you’ll need to make arrangements to transport it at your own expense. The cost of making your own arrangements would usually be from around A$105 by taxi and approximately between A$142 and A$200 using other services.

Filling out the form

Before requesting the pick-up service, you must have accepted your offer, be enrolled in units, have a confirmed flight, and the required visa to enter Australia.
To fill in the form make sure Javascript is enabled on your Chrome or Firefox web browser. Use a VPN (Virtual Private Network) If the booking does not work.

What to do when you arrive

  1. It is important that you stay inside your arriving terminal (T1 - T2 - T3 - T4).
  2. Avalon Airport pick-ups, please wait by your luggage carousel.
  3. On the day of your arrival, your driver will call or text you after your flight lands. Either have international roaming enabled or alternatively, please connect to the airport’s free Wi-Fi.
  4. Most students meet their drivers in under 60 minutes after their flight lands. Make sure that you do not bring any kind of food, as you risk cancellation of your booking if you take longer than 60 minutes to arrive through customs.
  5. If arriving on a international flight (Mel T2), find the meeting point, which is the The Welcome Centre, to your left, after you leave the customs area.
  6. Go immediately to the Welcome Centre and wait for your driver. Do not visit shops on your way.
  7. Before accepting your ride, make sure the driver has suitable identification, such as an Aero or Victoria University sign, confirming they’re a representative of Victoria University. The driver will also have your name and contact number provided in this booking.
  8. As a reminder, we cannot wait for, or take you to do a PCR COVID test, the driver has a limited wait time and you’ll risk missing your pick-up.
  9. Please make sure that you turn your phone on, that it is connected to the airport’s free Wi-Fi, and or has global roaming enabled.
  10. Your driver will contact you via WhatsApp. Kindly have WhatsApp installed and working on your phone before your arrival.
If you can’t find your driver, text Aero using WhatsApp on +61 425 865 955. Alternatively find a public phone and make a free call (no coins required) to Aero on 1800 350 850. Do not just leave! Aero will not compensate you for the cost of alternative transport if you missed the pick-up.

If you arrive late or not at all

  • If you miss a flight on your way to Australia, you must notify Aero Admin as soon as possible by email. If your notification is received within a minimum of 14 hours before your arrival, Aero will schedule a driver for your new arrival time.
  • If you board your flight but find it is delayed, note that Aero monitors all incoming flights arrival times and will be at the 'meeting point' to align with your new arrival time.
  • Note that Aero staff do not check emails between the hours of 10pm to 8am Melbourne time (Australian Eastern Standard Time (AEST).
  • Your booking will be cancelled if you do not arrive on the specified date and time and fail to notify Aero Admin at least 14 hours prior to your original flight arrival time and date request.
  • If you need to cancel or re-schedule your booking, email us as early as possible to ensure you remain eligible to make a booking in the future. All Victoria University students are eligible for a one-time free airport pick-up service when the above conditions are met.

The information provided on this form is correct and is used solely to arrange my pick-up from Tullamarine Airport or Avalon Airport. I will notify Aero Admin of any changes to my details as specified above.

    • Your out-of-pocket cost will be AU$50 per additional passenger, you will need to pay 'in cash' directly to the driver prior to departing the Airport.
